What is gym management software?

What it does, who uses it, what it should include and what it costs, explained for gym owners comparing their options.

Gym management software is a single system that runs the business side of a gym: memberships, payments, check-in, class and personal training bookings, member communication and reports. It replaces the spreadsheets, notebooks and group chats most gyms start with, so owners, staff, trainers and members all work from the same records.

What does gym management software do?

It keeps every member's plan, payments and visits in one profile, and automates the routine work around them. The core jobs are:

  • Memberships: recurring plans, class packs, day passes and trials, with freezes, upgrades and cancellations.
  • Payments: auto-pay, invoices, payment links and a clear view of who owes what.
  • Check-in: QR, kiosk or fingerprint entry that only lets active members in.
  • Booking: classes and personal training sessions in one calendar, with waitlists.
  • Communication: renewal and payment reminders by WhatsApp, SMS, email or push.
  • Leads: every enquiry captured and followed up until the person joins.
  • Reports: revenue, dues, attendance and retention, for one gym or a group.

Who uses it?

Everyone in the gym uses it, each with their own view. Owners see the numbers for every location. Managers and front-desk staff handle check-ins, payments, renewals and leads. Trainers see their own clients, sessions and workout plans. Members book, pay and manage their plan themselves from their phone.

What should gym management software include?

Look for the jobs above in one system rather than several tools joined together. Beyond that, check for:

  • Roles and permissions, so each person sees only what they need
  • A member portal or app, so members can book and pay without calling the desk
  • Support for more than one location, if you have or plan a second branch
  • Help moving your existing data, so switching does not mean retyping your member list
  • Pricing you can predict as you grow

How much does gym management software cost?

Most gym software is priced per location or by number of members, usually as a monthly subscription. Check what is included: some products sell features as add-ons, and some charge setup or migration fees. Allerwell Business is priced per gym, starting at $99 a month, with every feature on every plan, free data migration and no long-term contract. See pricing for each plan.

Do I need it if spreadsheets still work?

Spreadsheets work while one person keeps them up to date. They become hard to trust when a second branch opens, a manager leaves or renewals slip, and they cannot take payments, remind members or control the door. If you are at that point, our checklist for moving off spreadsheets covers what to prepare.

What about running more than one gym?

With several locations, the main need is one member list and one set of reports across every branch, while each manager runs their own gym. Members can use the branches you allow, and reports roll up to the group. Read more about running more than one gym or multi-branch management.

How hard is it to switch?

Switching mostly means deciding what to bring across: members, plans and end dates, balances, class packs and trainers. With Allerwell Business, our team imports your data from Excel, CSV or your current software for free, and you keep running as usual until you choose the day to switch. See how free migration works.
